Are you an experienced PA looking for a role at the heart of a creative, growing business? As a true right hand to our Co-founders and support to the Managing Director, you will be a highly organised, strategic thinker with strong emotional intelligence.
With sound project management skills and a love of pop culture you will enjoy being one step ahead. Whether preparing information packs, agendas, or itineraries, clearing the path for our Founders and Managing Director, and enabling them to do what they do best will be what drives you in your role.
This position combines the two worlds of MinaLima: the world of creative possibilities, working with the Founders Mira and Eduardo; and the business world, bringing structure and governance through supporting Damien, our Managing Director. It will suit someone who is calm, determined, proactive and able to adapt to their environment.
You will be driven by the detail, with a good grasp of the tone and voice of the brand, as well as an excellent command of written English. Strong editing skills are a must.
You will find the Co-founders and Managing Director to be a genuine mix of warmth, integrity, and innovative thinking. It’s a huge opportunity to play a key role in what is a truly exciting period of development for MinaLima.
You’ll be working alongside them five days a week in our Soho offices.
The Studio:
Welcome to Studio Minalima! Founded in 2009 by Miraphora Mina and Eduardo Lima, the graphic designers who imagined and created the graphic universe of the Harry Potter™ film series for Warner Bros. Their partnership has flourished through all the subsequent films with their prop designs inspiring a range of merchandise products and art prints. This has enabled our Retail arm “The Art Printorium” to continue to expand and we are now a very successful small business with robust international growth plans to scale our business X10 in the next 5 years.

Your Role:
Specific responsibilities:
- Act as the point of contact among executives, employees, clients and other external partners
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Plan and make travel and accommodation arrangements, creating clear itineraries and accompanying founding partners on trips when required
- Ensure we connect with key clients and partners in territories when we visit
- Track daily expenses and prepare weekly, monthly or quarterly reports
- Format information for internal and external communication – emails, presentations, reports, reflecting the voice of the team
- Organise and prepare meeting agendas and minutes
- Screen and direct phone calls and distribute correspondence
- Organise and maintain the office filing system
- Work with IT support to troubleshoot any technical issues the founders and Managing Director may have
Requirements:
- Experience in the publishing or film industry would be an advantage
- A minimum of 5 years’ experience working in a fast paced, highly organised role or a background as a PA
- Expert at Google Apps, Microsoft Office Suite and familiar with Mac OS
- Outstanding organisational and time management skills
- Excellent verbal and written communications skills
- Discretion and confidentiality
- Bachelor’s degree or equivalent degree of skills / knowledge
- PA diploma or certification is a plus
- Natural relationship builder with integrity, reliability and discretion
- Office based for 5 days per week
The Details:
- 40 hours per week, full time
- Fully in-office working within our Soho, London studio
- You must have the Right to Work in the UK
- Salary circa £40,000 per annum
