Overview:

We’re looking for an experienced PA to support our two Founders and Managing Director. You will be organised, solution focused and thrive on working in a fast-paced, creative and / or publishing environment.

The Studio:

Welcome to Studio Minalima! Founded in 2009 by Miraphora Mina and Eduardo Lima, the graphic designers who imagined and created the graphic universe of the Harry Potter™ film series for Warner Bros. Their partnership has flourished through all the subsequent films with their prop designs inspiring a range of merchandise products and art prints.  This has enabled our Retail arm “The Art Printorium” to continue to expand and we are now a very successful small business with robust international growth plans to scale our business X10 in the next 5 years.

Your Role:

For the Founders and Managing Director:

  • Diary management for the Founders and Managing Director
  • Calendar management across various time zones & booking external meetings
  • Managing global travel arrangements, including hotel bookings, transportation and visas
  • Maintaining accurate records of receipts and processing the expenses 
  • Crafting and preparing correspondence to reflect the voice of the team 
  • Frequently handling last-minute changes and adapting arrangements accordingly
  • Organising and preparing meeting agenda and minutes
  • Filing digital documents onto the server when final, for example, attachments
  • Ensuring the smooth running of the day-to-day admin duties

General:

  • Fostering relationships with external and internal stakeholders at all levels
  • To be the first point of contact on all Executive queries
  • Carrying out background research and presenting findings
  • Coordination of office events
  • Screening phone calls, enquiries and requests, and handling them when appropriate 
  • Support the cataloguing and archiving of MinaLima’s published books, including first editions

Requirements:

  • Previous experience of working in a fast paced, creative and / or publishing environment 
  • Ability to keep multiple plates spinning at any one time
  • Outstanding organisational skills with the ability to adapt to changing situations
  • Able to use initiative in time management for the founders and MD
  • Excellent written English 
  • Natural relationship builder with integrity, reliability and discretion
  • Keen attention to detail and adherence to deadlines
  • Expert at Microsoft Office Suite, Google Apps; familiar with Mac OS
  • Office based

The details:

  • 40 hours per week, full time
  • Fully in-office working within our Soho, London studio. However, we will consider flexible working requests for this role
